CRM

Let agents manage contacts, opportunities, and campaigns, with approvals for high-impact actions.

Each project can have its own CRM. When it's on, Rolit agents can look up and update contacts, track opportunities through a pipeline, and run outreach campaigns, with human approval for high-impact actions.

Enable CRM

  1. Open the project's Settings.
  2. Turn on Enable CRM Tools for Agents.
  3. Pick an industry profile and select Save CRM settings.
  4. Select Open CRM.

If CRM is off, the CRM page asks you to go to Settings.

CRM hub

The hub summarizes active records, campaigns, approvals, and open opportunities, and links to each area:

AreaWhat it does
ContactsPeople, with title, lifecycle stage, tags, owner, territory, and source.
PipelineOpportunities by stage.
CampaignsOutreach campaigns and their members.
ApprovalsQueue of high-impact agent actions waiting for a decision.
ExportsRequest a full data export.
RolesAssign CRM roles to project members.
ComplianceRegulated queues, such as PHI quarantine.

Contacts

Select Add Contact and fill in the name, job title, lifecycle stage, primary email and phone, territory, source, notes, and tags.

  • Lifecycle stages: PROSPECT, QUALIFIED, CUSTOMER, CHURNED.
  • Source types: MANUAL, INBOUND, WEBSITE, REFERRAL, AGENT, EVENT.

Search and filter by stage. A contact's page shows its timeline of interactions and its opportunities.

Pipeline

Opportunities move through the stages PROSPECT, QUALIFIED, PROPOSAL, NEGOTIATION, CLOSED_WON, and CLOSED_LOST. Select a stage to filter. Each opportunity can hold a deal amount, expected close date, external order reference, a reason or note, and an Offline Order Confirmed flag.

Campaigns

Create a campaign with a name, a channel (email, call, sms, or event), and a purpose or strategy. A campaign page lists its members.

Approvals and autonomy

Agent actions are classified by risk: read, draft, reversible write, high-impact write, external effect, and regulated action. Actions that policy marks as needing approval show up in Approvals, where you can approve or reject them, optionally with a reason. If an update from the pipeline needs approval, Rolit tells you to check the Approvals tab.

A request that was already changed or has expired is refreshed out of the queue.

Roles

Assign each member one CRM role: CRM_ADMIN, SALES_MANAGER, SALES_REP, MARKETER, CONTENT_CREATOR, or CRM_VIEWER. Removing a role takes away that member's CRM access in the project.

Exports

Select Request new export to generate a full data export of the project's CRM.
